Privacy Policy

OrbitingFox exists so you can trust it with your ideas, goals, and notes. That trust is the product. This page explains — in plain language — what information we collect, why we collect it, and the control you keep over it.

The short version

• Your content belongs to you. We use it for one purpose: making OrbitingFox work for you.
• We do not sell your personal information, and we do not show your private content to other users.
• We send only essential account emails — no marketing without your explicit opt-in.
• You can ask us to delete your account and data at any time.

What we collect

• Account information: username, email address, password (stored only as a secure one-way hash — we cannot read it), and preferences such as your timezone.
• The content you create: notes, tasks, goals, projects, files, and voice recordings you choose to make — the material the service exists to organize for you.
• Usage information: basic records of how the platform is used, so we can keep it reliable, secure, and improving. This includes first-party, privacy-safe analytics — for example page views, referring site, device type, and an approximate location (country/city) derived from your IP address; we do not store your raw IP address, and this first-party measurement uses no cookies. With your consent (see Cookies and your choices below) we also use third-party analytics — and, if we run advertising, measurement of those campaigns — to understand how people find and use the service. These third-party tools stay switched off until you accept the cookie banner, and we never sell your data or use your private content for advertising.

How we use your information

To provide, secure, and improve the service you signed up for — organizing your content, powering the features you use, sending essential account emails, preventing abuse, and fixing problems. That's the list. We don't sell your data, and we don't use your private content for advertising.

AI features

Some features — like transcribing a voice note or answering questions about your own content — are powered by established third-party AI services. When you use these features, the relevant content is processed by those services under agreements that prohibit using your data to train their models. If you prefer not to have content processed this way, simply don't use the AI features — the rest of OrbitingFox works without them.

To keep improving the AI assistant, conversations with it (including chats from visitors who are not signed in) may be retained and analyzed only in aggregate and anonymized form — for example, to understand common questions and where the assistant can be more helpful. This analysis is designed so that individual private messages are not exposed to our staff.

Service providers

Like nearly every online service, we rely on a small number of vetted providers for cloud hosting, email delivery, and AI processing. Each receives only the minimum information needed to do its job, and we choose providers with strong security and privacy commitments.

Cookies and your choices

Essential cookies are always active: one keeps you signed in and one protects forms against forgery. The site cannot work without them.

Analytics and advertising cookies are different — they stay off by default and are set only after you accept the cookie banner. If you accept, third-party analytics (and, when we run ad campaigns, advertising or conversion measurement) may set cookies to help us understand usage and how people find us. You can decline — the site works fully either way — and you can clear these cookies or withdraw consent at any time from your browser settings.

Security

All traffic is encrypted in transit, passwords are hashed, private files are served only to their owner, and administrative access is restricted. No online service can promise perfect security, but protecting your data is a continuous, active part of how OrbitingFox is built and operated.

Your rights and choices

• Access & correction: view and edit your account details and content anytime from your account pages.
• Deletion: request deletion of your account and data via the contact page; we confirm and remove your personal data from live systems, with backups expiring on their normal schedule. One category is kept — see Payment records and tax below.
• Export: contact us for a copy of your content.

Payment records and tax

If you delete your account, records of payments are kept. We would rather say this plainly than let you assume otherwise.

Tax and accounting rules require a business to keep a record of money it received and money it paid — what the amount was, and when. That obligation applies to OrbitingFox as a business and it does not go away because an account was closed. So when you ask to be deleted, we erase you: your name, email address, phone number, profile picture and the content you created. What remains is the transaction, and it is no longer connected to your name or your email address — only to an internal reference number, which is what lets our accounts still add up.

In short: after deletion our records can show that a payment of a certain amount happened on a certain date. They cannot show that it was you.

Children

OrbitingFox is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has created an account, contact us and we will remove it.

Changes to this policy

If this policy changes in a meaningful way, we will update the effective date above and, for significant changes, notify you by email or an in-app notice. Continued use of the service after changes take effect means you accept the updated policy.
